Police Records

The Records Division is responsible for maintaining internal document control over all original reports, including all crime, arrest, and traffic accident reports received by the Department. This Division's personnel provide copy distribution, dissemination of documents and information per court order, state statute, and internal policy.

Offense Reports / CAD Reports

Reports documenting initial complaints of criminal activity and subsequent actions taken by officers. Requesting persons must provide valid photo identification, with date of birth. You may bring or mail the request to: Gallatin Police Department; Records Division; 130 W. Franklin Street, Gallatin, TN 37066. If requesting report by phone a DOR will be faxed or emailed to be completed with photo id. Upon receiving fax, most reports will be faxed to you in 3 to 5 business days.

All Gallatin Police Department arrests with dispositions, if available, will be provided. If a disposition is unavailable, it is your responsibility to contact the Court of jurisdiction for the disposition. We do not contact the Court for you.

If you are obtaining a local background check for a person other than yourself, you will need to obtain a signed authorization, along with the listed personal identification, from that individual.

Arrest Reports

Reports documenting the arrests of individuals by officers and investigators in the City of Gallatin. Requesting persons must provide a copy of one of valid photo identification with date of birth. You will be required to complete a Duplication of Records Form requesting a copy of such report. If you are requesting by phone, a Duplication of Records form will be faxed or emailed to you and a valid photo identification will need to be attached upon completion of form. .

Accident Reports

These reports include documents of vehicle crashes in the City of Gallatin. You must provide the following information before we can process your request:
  • Victim’s name
  • Date of the offense or incident.
  • Location, if available (Optional)
Call the Records Department at 615-452-8267 to verify that the report has been completed and approved by a supervisor. Records personnel will advise you at that time of the cost of the report. Reports can be picked up in person, faxed or mailed. If report needs to be faxed a duplication of Records form must be completed, including a copy of valid photo identification. If requesting to be mailed, you need to mail your request in a self-stamped envelope. Upon receiving, the accident report will be mailed to you. Most insurance companies will take care of obtaining a copy of your accident report for you.

Audio & Video Recordings

Audio or video requests are done by completing requested form furnished by the department with a charge. The cost of the audio and/or video will be .50 each. (Cost is subject to change.)

When requests are received, the Records Department completes the request as timely as possible. Some requests may take longer to complete. If the request will take longer than 5 to 7 business days, a Clerk will notify you of the delay.
